Description

Overview

Under the general supervision of the Public Health Manager, Administrative Support III will provide coverage at the reception desk, answers phone calls, schedules patients using the electronic health record, conduct data entry, and other duties as assigned. The incumbent will initiate data entry and update records by using a computer, scanning, and/or manual systems. This position will answer questions and concerns from public. They will be responsible for record retention, inventory, procurement, and travel. The incumbent will be knowledgeable about tuberculosis disease and latent tuberculosis infection.

Responsibilities

• Provide responsible paraprofessional and technical assistance in the program, perform administrative detail work and maintain appropriate records and statistics

• Run reports from different programs and databases

• Direct basic office management functions that will include answering calls, open records requests, composing letters, memorandums, spreadsheets, and presentations

• Prepare agendas, collect minutes for meetings, and may assist with the preparation of budget

• Process invoices for payment, submitting travel advance requests and expense reports, updating various financial spreadsheets, review and request approval of validity of purchase or services rendered, and confirm payment to vendor

• Track invoice status from receiving to payment completion

• Verify account funds available for purchases and travel

• Handle cash and use of procurement card

• Secure vehicle reservations for travel and verify receipts and enter expenses

• Utilize deescalation strategies when dealing with upset customers or public

• Contact staff or vendors to resolve any purchasing disputes.

Position Type and Typical Hours of Work

• Non-Exempt - Full-Time- Monday-Friday 8:00am-5:00pm

• Must be available to work additional hours as needed

• Flexibility to work evenings, weekends, and holidays is a schedule requirement

• In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services

Minimum Qualifications

• Associate's degree (AA/ AS); or 2-year technical certificate

• Two (2) years of experience

Licenses and Certifications

Required

• A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hiring

Required within thirty (30) days of hire

• Self-study modules on Tuberculosis

Required within six (6) months of hire

• CPR/First Aid/AED certification

• Defensive Driving Certification

Required within one (1) year of hire

• ICS Training Certificates

Basis of Rating

A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview
