SummaryUnder the direction of the Fire Chief the Administrative Secretary completes assignments as provided, has heavy public contact via phone calls, counter assistance, and written correspondence. This position requires the ability to work in a fast paced environment with many interruptions.
Essential Duties and Responsibilities
Essential duties and responsibilities include the following. Other duties may be assigned.
- Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payrolls, personnel, information management, filing systems, requisition of supplies, and other clerical services.
- Maximizes office productivity through proficient use of appropriate software applications.
- Researches and develops resources that create timely and efficient workflow.
- Establishes uniform correspondence procedures and style practices.
- Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
- Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness.
- Prepares activities reports for guidance of management.
- Coordinates activities of various clerical workers within department.
- This job has no supervisory responsibilities.
Certificates, Licenses, Registrations
A valid Class C driver’s license with a clean driving record is required for this position. Driving is a requirement of this position.
