Normal Work Days/Hours: Monday-Friday, 8:00 a.m.-5:00 p.m., with some after-hours events

About the City Manager's Office The City Manager's Office provides executive leadership and operational oversight to ensure efficient, cost-effective delivery of municipal services under the council-manager form of government. The office serves as a strategic advisor to the mayor and City Council, supporting policy development, budget preparation, and organizational direction. Oversees department leadership appointments, enforces municipal laws and ordinances, and coordinates citywide operations and programs. The City Manager works to deliver staff support to the City Council and its committees, including policy analysis and implementation. Manages high-profile, citywide initiatives and special events, ensuring successful coordination across departments and stakeholders.

What You'll Do: - Supervises, trains, assigns and evaluates the work of an Administrative Assistant, ensuring efficient and effective office operations.
- Provides high level administrative support to Assistant City Managers, including scheduling, calendar management, meeting coordination, and correspondence.
- Serves as a primary point of contact for internal staff, external partners, and community stakeholders.
- Manages complex and shifting priorities while ensuring smooth daily operations within the department.
- Prepares, edits, and maintains confidential documents, reports, presentations, and communications.
- Maintains office supply inventory and manages procurement of materials and equipment.
- Processes and reconciles purchasing card (p card) and travel card transactions, ensuring compliance with financial policies.
- Processes accounts payable, purchase orders, requisitions, vouchers, and other financial documentation.
- Prepares, processes and audits payroll prior to final approval for City Manager's Office.
- Maintains an organized filing systems, both digital and physical, internally as well as through Gain RM Production site, ensuring records are accurate, accessible, and compliant with retention policies.
- Prepares documents for pre-determination hearings, meetings, and official records; coordinate distribution of notices and correspondence.
- Enters and updates Ordinance information on City Clerk's website prior to committee and council meetings.
- Serves as the Travel Coordinator for the City Manager's office, as well as assisting with various aspects of travel for Mayor and City Council using Travel KC and Emburse:
- Provides professional customer service at the front desk or through phone/email communication.
- Trains new administrative staff in office procedures, systems, and best practices.
- Provides backup coverage for Executive Assistant to City Manager and other administrative roles during absences or high volume periods.
- Assists with planning and execution of departmental events, sponsorship activities, and community initiatives.
- Performs other duties as assigned.
Qualifications
REQUIRES:- an accredited Bachelor's degree
- OR an equivalent combination of qualifying education and experience to include professional experience in the development and/or operation of administrative systems, programs, policies and practice.

Positions requiring a high school diploma/GED certificate must be obtained from a school/program accredited by the Department of Education and recognized by the U.S. Secretary of Education.
The minimum education requirement for positions that allow for experience equivalency for an accredited degree is a high school diploma. Unless otherwise specified, an accredited degree must be obtained from a college or university listed with the U.S. Department of Education and recognized by the U.S. Secretary of Education.
For positions with a salary grade of EX6 or higher that require an accredited degree, qualifying professional experience must be obtained AFTER the accredited degree is obtained. Successful completion of a pre-employment criminal history/background check is required for all positions. Some positions require a post offer drug screen and/or physical.
If appointed, non-residents must obtain residency inside Kansas City, Missouri's city limits within nine months.
